OXHACK PRIVACY NOTICE

OxHack collects personal information from applicants and participants in order to run the event effectively. This notice explains what information we collect and how we use it.
When you apply to OxHack, we may collect information including your:
- name and contact details;
- age and gender;
- university, course and year of study;
- application responses;
- CV;
- dietary requirements; and
- accessibility requirements or adjustments you choose to tell us about.
We may also collect other information that you voluntarily provide through the application process or in subsequent communications with us.
We use your information to:
- assess and manage applications;
- organise and administer OxHack;
- communicate with applicants and participants;
- provide appropriate catering, accessibility arrangements and other event support;
- maintain the safety and effective operation of the event; and
- understand and improve OxHack and future events.
Dietary and accessibility information will only be used where reasonably necessary to support your participation in the event and will not be shared with sponsors for recruitment purposes.
CV Sharing
OxHack works with sponsors who may offer employment, internship and similar opportunities to participants.
Where you have consented to this, we may share your CV and relevant application information with selected OxHack sponsors for recruitment and event-related engagement.
Sponsors receiving this information are responsible for their own use and protection of your personal data in accordance with applicable data protection law.
We will not share your CV or identifiable application information with sponsors for these purposes without the appropriate consent.
OxHack Marketing
We may use anonymised and aggregated information about applicants and participants for statistics, reporting, event planning and sponsorship purposes. This information will not identify individual participants.
We take reasonable technical and organisational measures to protect the personal information we hold. We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and any applicable legal or administrative requirements.
Your personal information will be processed in accordance with applicable UK data protection law, including the UK GDPR and Data Protection Act 2018.
Depending on the circumstances, you may have rights over your personal information, including rights to access or correct it and, in some circumstances, request its deletion or withdraw consent.
